Your community’s records, kept separate, protected and permanent

A building’s money and decisions deserve more than a spreadsheet. Bina Board is built so that each community sees only its own data, every action leaves a trail, and nothing important can quietly disappear.

How we protect your community

Built in, not bolted on

Every community kept apart

Each community’s records are separated at the core of the system. A user of one community cannot see another community’s data, or even confirm that it exists.

Role-based access

Union admins, owners, tenants and vendors each get their own portal and see only what their role allows. Access is checked on the server for every page and every app request.

A full audit log

Every privileged action is recorded with who did it, when, and what changed. Union admins can filter the log and export it.

Nothing is ever deleted

Move-outs, cancelled bookings, retired equipment and removed listings are archived, not erased. The history of every apartment stays on record.

Books that cannot be rewritten

The accounting journal is append-only and always balanced. A mistake is corrected with a reversing entry, so the original stays visible.

Votes you can verify

Every ballot cast or changed is written to a hash-chained record, so a vote’s result can be checked independently.

Accounts and sign-in

No shared passwords, no sign-up forms

Nobody creates their own account. When the union adds an owner or tenant to an apartment, Bina Board creates their login and emails a one-time password that must be changed on first sign-in.

  • The login belongs to the apartment, so when a unit is sold or re-let the new occupant gets fresh credentials
  • Access is suspended automatically when someone moves out
  • Repeated failed sign-in attempts are rate-limited
  • Optional Face ID or Touch ID lock in the iPhone app

Union adds a resident

To a specific apartment, as owner or tenant.

Login created automatically

A one-time password is emailed with the community’s own sign-in link.

Password changed on first sign-in

Only the resident knows the password they use from then on.

Control

You decide what residents see

Every module can be switched on or off for each community, separately for the union and for residents. On the resident side you can go further, for example showing residents their own bills but not the union’s cash ledger. Anything switched off is hidden on the web and in both apps.

Where can I read how personal data is handled?

Our Privacy Policy explains what we collect, why, and the rights residents have in each country we serve.

Can another community see our data?

No. Every request is checked against the community it belongs to, and a request for another community’s data is refused without revealing whether that community exists.

Can the union delete a payment or a vote?

No. A recorded payment cannot be deleted, accounting entries can only be corrected by a new, visible reversing entry, and ballots are kept in a tamper-evident record.
