How transparency works

Every payment in, every expense out, visible to residents

Most building disputes start with one question: where did the money go? Bina Board answers it before anyone has to ask, with a union ledger residents can open at any time.

What residents see

Open books, without exposing anyone

The union cash ledger

Every amount the union receives and spends, from maintenance fees and booking fees to salaries, utilities and vendor payments, in one running balance.

Their own apartment’s account

Every charge and payment on their apartment, with a receipt PDF for each payment and a gap-free receipt number.

Monthly statements

A statement for each apartment is published automatically every month, and residents are notified with a link.

Other residents stay anonymous

Payments from other apartments appear in the ledger without naming who made them.

Why money was spent

Large expenses can require a resolution passed by a resident vote before they are paid.

In their language

Receipts and statements are produced in the community’s own language, including Arabic and Urdu.

From bill to ledger

How a payment becomes visible

  1. The bill is issued

Each apartment’s monthly bill is generated on the community’s schedule.

  2. The resident pays

By bank transfer or cash, then reports it in the app with a photo of the slip.

  3. The union confirms

Or rejects it with a reason; a rejected claim can be corrected and resubmitted.

  4. Everyone can see it

A numbered receipt is issued and the payment appears in the ledger and the books.

The resident view

Bills residents understand

Each bill shows its line items, any VAT and late fee, the balance carried over and every payment made against it, so residents know exactly what they owe and why.

  • Payment instructions with the union’s bank details
  • Payment history and receipts to download
  • The same view on the web and in the app

Questions

Transparency questions

Can residents see who has not paid?

No. Residents see their own apartment in full, and see other apartments’ payments only without names. The union sees the full picture, including the aging report of overdue balances.

Can we choose not to show the union ledger?

Yes. What residents can see is configured for each community, down to individual features such as the union ledger or monthly statements.

Is the ledger up to date?

Yes. It reflects every confirmed payment and recorded expense each time it is opened.
